How to market an MSP business with a one-page plan: referrals, reviews, Google Business Profile, email, events, LinkedIn, outbound, vendor funds and AI search, each with hours and one metric.

How to market an MSP business (a managed service provider): run a small monthly routine, not a big campaign. Start with referrals. ConnectWise's 2026 survey found 72% of MSPs call referrals a key driver. Then add reviews, Google Business Profile, email, local events, LinkedIn and one outbound channel. Add AI search as one more channel. Give each channel a few hours a month and one number to track.

Why do most MSPs struggle with marketing?

Most MSPs don't lack ideas. They lack a routine. They also can't tell what works.

Kaseya surveyed 1,061 MSPs in November 2025. 71% named new customers as their biggest challenge. 15% said they have no lead-generation strategy at all, up from 12% the year before. 70% plan to improve their marketing this year.

ChannelPro ran the 2026 MSP Marketing Report for ConnectWise. Only 26% of MSPs felt fairly or fully sure their marketing works. That is up from 20% the year before. Still, three in four MSPs are guessing.

Every new client counts, too. In a December 2025 MSP Success reader survey, 60% of readers added only 0 to 5 new clients in 12 months. You don't need more tactics. You need a short plan with a number next to each line.

What do the reports say actually works?

The reports agree on referrals. They agree less on the rest.

The 43% and the 72% look like a conflict. They mostly aren't. MSP Success asked for the single top strategy. ConnectWise asked about "a key driver." Neither survey published its sample size. So read both as a direction, not an exact rate.

Note that ConnectWise and Kaseya sell software to MSPs. Their reports are vendor-funded.

The switcher number matters most. One in three MSPs say new clients mostly leave a rival. Those buyers already know what an MSP does. They want proof you're better. Reviews, case studies and referrals give them that proof.

How to get MSP clients: what buyers check before they call

A referral used to end with a phone call. Now it ends with a search. The buyer types your name into Google. Many also ask an AI tool about you. That quiet check decides a lot of deals, and you never see it happen.

MSPs say, "Our clients come from referrals." Buyers say, "I made my shortlist first." Both are true at once. A referral gets your name onto the list. The online check keeps you on it or knocks you off.

Hinge's 2015 study found the top reason for dropping a referral. 43.6% said the firm's value to them was unclear. That's a website problem. It's also an AI answer problem.

One honest limit: the 6sense and Semrush buyers are mostly software buyers. We found no 2026 survey of small businesses picking an IT provider. Treat this as a strong signal, not proof.

Here is a simple system for finding clients every month:

  1. Run a formal referral program. Ask at every quarterly review. Keep the reward simple.
  2. Pick one vertical. Choose law firms, clinics or manufacturers. Buyers want to see their own problems on your page.
  3. Write pages that answer buyer questions. Think "How much does managed IT cost for a 20-person law firm?"
  4. Add one outbound channel. Cold outreach ranked second in the MSP Success survey. Pick email, calls or LinkedIn. Stick with it for at least 90 days.
  5. Check what AI tools say about you. Ask ChatGPT and Google the questions your buyers ask. Do it every month.

How much should an MSP spend on marketing?

No one knows which is right. The honest range runs from about 2% to 10% of revenue.

Here's a simple way to pick. Try 2% first. A $2M MSP would spend about $40,000 a year. Track results for six months. Raise the budget where a channel brings real meetings.

That's about 18 hours a month. Split it across two people.

A quick note on MDF. MDF stands for marketing development funds. Vendors give partners money to promote their products. The Channel Company found large partners get over half their marketing budget this way. Smaller partners often struggle to qualify. ChannelPro notes vendors favor partners who document ROI, so keep proof of results.

Referrals can't be turned up on demand, so most MSPs need a second channel they control. Costs come from the source listed. The speed and effort columns are our own rough read, not measured data.

Cold email: the rules changed

Google set new rules for bulk senders on 1 February 2024. A bulk sender sends over 5,000 emails a day to personal Gmail accounts. These senders must set up SPF, DKIM and DMARC, three domain settings that prove the mail really comes from you. Google asks senders to keep spam reports below 0.3%. Marketing mail needs a one-click unsubscribe.

Microsoft followed on 5 May 2025 for Outlook.com, Hotmail and Live addresses, and now rejects mail with failed checks, per dmarcian. Business inboxes judge you in a similar way.

The FTC says CAN-SPAM has no exception for business-to-business email. Each bad email can cost up to $53,088. You must honor an opt-out within 10 business days.

Calling services and "guaranteed leads"

Superhuman Prospecting's MSP page shares one case study: 7,493 dials led to 65 appointments. That's about one meeting per 115 dials, for one client, reported by the vendor. Neither Superhuman Prospecting nor LevelUp Leads publishes a price per appointment. So divide the monthly fee by the meetings you actually get.

Some agencies offer lead guarantees. One MSP agency's page says its terms depend on "investment level, service capacity, and market competitiveness." Another says: "No leads = Next month's fees waived." Before you sign, ask:

  1. How do you define a lead, in writing?
  2. What company size and job title count?
  3. What happens after the minimum term with zero deals?

LinkedIn and Google Ads

LinkedIn works best as a slow trust builder. Its B2B Institute backs the "95-5 rule," from research with the Ehrenberg-Bass Institute: 95% of your buyers aren't ready to buy today. Sales Navigator finds people. Your own posts make them trust you. Share real fixes from real tickets, and keep client names out.

Google Ads work fast and cost real money. The WordStream and LocaliQ figures above come from 13,474 US search campaigns. The study has no separate IT services group, so your real cost may differ.

Where does AI search fit in the plan?

AI search is one row in the table. It is not the whole plan.

Why does it earn a row? G2's March 2026 study of 1,076 buyers says 51% of software buyers now start research in an AI chatbot, up from 29% in April 2025. G2 sells to software vendors, and its study does not cover people hiring an MSP. Semrush found 66% of US B2B professionals use AI to research vendors. No study we found covers SMB owners hiring an MSP. Some of your prospects likely use these tools anyway.

Keep three facts in mind:

  • Nobody ranks in ChatGPT. There is no position one. A promise of a top spot is overselling.
  • One screenshot proves nothing. Answers change from run to run. Run each question several times and count how often your name appears. That ratio is your real number.
  • Most of the work is good SEO. Clear service pages, outside reviews and real case studies help both Google and AI tools.

We tested this ourselves. We asked ChatGPT the same MSP agency question five times. Our five-run ChatGPT test found twelve agencies across the runs. None showed up in all five. ChatGPT often answered from roundup articles. We only made the list in runs where it read agency service pages.

How do you know the plan is working?

Look at one number each month: meetings booked. Then note which channel each one came from.

After three months, compare the channels. Drop the one with zero meetings. Move its hours to the best one. After six months, check your budget against the 2% starting point.

Only 26% of MSPs trust their own marketing results. You can join them with a spreadsheet and one honest question: "How did you hear about us?"
