MSP marketing, without the guesswork

MSP marketing is how a managed service provider gets found, trusted and chosen by businesses that need IT help. For most MSPs it comes down to four jobs: get referred, get found when a buyer searches, look credible when they check you, and follow up. This page walks through each one and shows where Google and ChatGPT fit.

What is MSP marketing?

It is marketing for a business that sells a monthly IT service to other businesses. That makes it different from marketing a product. Your buyer is choosing someone to trust with their systems, so they ask around, look you up and compare a short list.

Good MSP marketing makes three things true. People hear your name from someone they trust. When they look you up, they find clear pages, real reviews and proof. And when they ask Google or ChatGPT who to hire, your name comes up.

What the surveys say MSPs actually do

Most MSPs are not sure their marketing works. ConnectWise's 2026 MSP Marketing Report, run by ChannelPro, found only 26% were fairly or completely confident it delivers results. The report does not state its sample size.

A December 2025 MSP Success reader survey asked what brings in clients. 43% named referrals as their top way. 18% named cold outreach. 16% named SEO and their website. 2% named social media. The sample size was not stated.

ChannelWhat we found
Referrals72% of MSPs call them a key driver (ConnectWise 2026). 43% name them the top client source (MSP Success, Dec 2025).
Cold outreach18% name it the top source (MSP Success).
SEO and website16% name it the top source (MSP Success).
Email48% put it in their top three channels (ConnectWise 2026, citing the 2025 survey).
Social media2% name it the top source (MSP Success).

Both reports come from vendors who sell to MSPs, so read them as a direction, not a law.

Why a referral is not the end of the sale

A referral gets your name on the list. Then the buyer checks you.

6sense, a software company, reported in November 2025 that 94% of buying groups ranked preferred vendors before first contact, and bought from that early favorite 77% of the time. Semrush found that of 519 US business professionals who use AI at work, 66% regularly use AI to research vendors, and 71% visit the vendor's website after an AI suggestion. Both studies are about software buying, not hiring an MSP. We found no equivalent for small businesses choosing an IT provider, so treat them as a strong hint.

The plain reading: your next client may already have asked Google or ChatGPT about you before they ever call.

Where Google and ChatGPT fit in MSP marketing

Buyers now ask questions like "best MSP for a law firm in Dallas" or "co-managed IT for a 50-person office." Google and ChatGPT answer with a short list of names.

We tested this. We ran 1,500 buyer prompts through ChatGPT with web search on in October 2026. In 95% of answers it cited at least one MSP's own website. Industry pages were cited in 55% of prompts, city pages in 35% and service pages in 34%. It cited a best-of list in 51% of answers and Google Maps in 43%. ChatGPT often found names on lists first, then checked each MSP's site.

There is no ranking in ChatGPT, and the same question can give a different list each time. SparkToro's January 2026 study found less than a 1 in 100 chance that ChatGPT or Google's AI gives the same brand list in two answers. So the goal is to show up more often, and to count it properly.

Google says there are no extra requirements to appear in AI Overviews or AI Mode, and no special optimizations needed. Good SEO still applies. That is why we do both together.

What Aquinel does for MSP marketing

We do the search side of MSP marketing: Google SEO and getting named in AI answers like ChatGPT. Three steps, repeated every month:

  1. Sourced Prompt Discovery. We find the exact questions your buyers ask, each with its source, and run them many times to see how often you are named.
  2. Citation Gap Analysis. We find the pages Google and AI read in your category, and why yours are not on them.
  3. Source Engineering. We get you onto those pages, on your site and on other sites, then re-run the questions to check.

You get a weekly call with the founder, Lourdes Paul Agilan. See the services page for price and terms.

What we do not do: cold outreach, ads, email campaigns, social posts or websites. If you need those, keep your current agency and add us for search. We also do not promise leads. We report how often AI names you.

Is this right for you?

It is a good fit if you want inbound enquiries, you can update your own website, and you are fine with results taking months.

It is not a fit if you need guaranteed leads this quarter, or if you only do break-fix work.

MSP marketing: common questions

What is MSP marketing?

MSP marketing is how a managed service provider gets found, trusted and chosen by businesses that need IT help. It includes referrals, reviews, a Google profile, service pages, email and events. More buyers now also check Google and ChatGPT before they call.

What is the best marketing for managed service providers?

Referrals lead. In a December 2025 MSP Success reader survey, 43% named referrals as their top way to gain clients. Add a complete Google profile, reviews and clear service pages so buyers who check you find something solid.

How do you market managed IT services?

Start with a referral habit, then make yourself easy to find. Fill in your Google Business Profile, write pages for the services, cities and industries you serve, and collect reviews. Add one channel you can keep up, such as email or LinkedIn.

How much should an MSP spend on marketing?

Estimates differ. ConnectWise's 2026 report cites 1.8% of revenue as best-in-class, using Service Leadership data. It also found 51% of MSPs spend under $10,000 a year. No neutral study tells you the right number. Start small, track meetings booked, and move money to what works.

Does digital marketing work for MSPs?

It can, slowly. In the MSP Success survey, 70% said a lead takes 3 to 6 months to turn into a paying client. Judge digital channels over months, using meetings booked.

Can MSP marketing get me recommended by ChatGPT?

It can raise your chances. Nobody can promise a spot. Read our step-by-step guide to getting recommended by ChatGPT.

Do I need an MSP marketing agency?

Not always. A full-service agency helps if you have no marketing at all. A search specialist helps if you already have a marketing person. Our comparison of nine MSP marketing agencies shows what each publishes.
